Plan your real day with this techniqueHow it works
Each task goes into one of four quadrants: Do (urgent and important), Schedule (important, not urgent), Delegate (urgent, not important) and Delete (neither). The matrix makes it obvious when urgent noise is crowding out important work.
In FocusKept you drag tasks between quadrants, or move them with the keyboard. The Delete quadrant offers to archive tasks so they leave your list.
Step by step
- List your open tasks.
- Place each task in Do, Schedule, Delegate or Delete.
- Start a focus session on a task from Do.
- Plan time for Schedule tasks so they don’t become urgent.
- Hand off Delegate tasks and archive the Delete ones.
Best for
- Overflowing to-do lists
- Weekly planning
- Telling real priorities from noise
When not to use it
- Short lists of equally important tasks
Questions
What if everything feels urgent and important?
Ask what happens if a task waits a week. If nothing serious, it belongs in Schedule.
I work alone. What about Delegate?
Use it for tasks you could automate, batch or ask someone for help with.
How often should I re-sort my matrix?
A quick review once a day and a fuller one each week keeps the board honest as deadlines approach.
